Position Summary

Full Time

The Executive Assistant is an essential position that reports directly to Beemok Capital’s Chief Operating Officer, Chief Investment Officer, Chief Financial Officer, and Legal Counsel. The Executive Assistant works to support the continued growth of Beemok Capital by organizing and coordinating executive outreach and external relations efforts, ensuring that the C-Suite members at Beemok Capital are prepared for their days, and overseeing special projects. This core team member will provide high-level administrative support to the company’s C-Suite members and serve as a liaison to the owners, other executive teams, and Beemok Capital’s public and private partners.

Responsibilities

  • Direct the daily projects of the C-Suite in the Beemok Capital office, organizing complex calendars and schedules and resolve any scheduling issues
  • Use discretion, confidentiality, and sound judgment to handle C-Level matters
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects
  • Arrange travel and accommodations for executives and prepare expense reports
  • Screen incoming calls; take and deliver accurate messages; respond to requests by gathering and 
providing information and referring non-routine calls to the appropriate team members
  • Draft and prepare correspondence for internal announcements, meetings, and organizations
  • Proofread, verify, and review materials, applications, records, reports, and publications for 
accuracy, completeness, and conformance with established standards, regulations, policies, and procedures
  • Propose, plan, and execute special events
  • Office managerial responsibilities including organization of common areas and supply ordering
  • Coordinate with human resources in assisting with employee recognition, benefits 
development, employee wellness, administrative requirements, and the on-boarding of new team members

Education & Experience

  • Bachelor's degree required; advanced degrees strongly preferred
  • 5+ years of experience supporting C-Level Executives or working in a similar capacity
  • Experience in internal and external communications, partnership development
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat
